ScreenSwytch is provided by Onnen Solutions Ltd ("Onnen", "we", "us" or "our"). This policy explains what personal data we collect when you visit this website, start a trial, buy a licence, or run the ScreenSwytch desktop app, and how we look after it. We are the data controller for that data.

2. What we collect
We keep what we collect to a minimum. There are two kinds of data:
- Details you give us — your name, email, business name (if any), and the content of any message, when you get in touch, start a trial or buy a licence. When you buy, our payment processor also collects your billing address and, if you enter one, your VAT or tax ID.
- Licensing data from the app. When a device starts a trial or activates a licence, ScreenSwytch sends a pseudonymous machine ID (a one-way hash — never your raw hardware identifier), the device name (its Windows computer name, so an administrator can recognise which device it is), the app version, and your coarse country. It does not send your screen contents, screenshots, documents, files, keystrokes, browsing history, or any other personal or business data from the device.
When you use this website or the licensing service, our hosting provider also processes standard technical data such as your IP address and request logs — to deliver the pages, prevent abuse and keep the service secure.
3. How we use it, and our lawful basis
We use your details to set up trials and accounts, issue and renew licences, take payment, and answer support requests. We use the machine ID, device name, app version and country to activate licences correctly, keep an accurate seat count for your organisation, and let your own administrators see and manage the devices on their licence. Device information is only ever visible to your organisation's own administrators and to us for support — never to other customers.
Our lawful bases under UK GDPR are: performance of a contract (setting up and running your trial or licence and taking payment); legal obligation (keeping tax and accounting records); and our legitimate interests in responding to enquiries, keeping the service secure, and preventing fraud and abuse. Where we ever rely on consent (for example optional analytics or marketing), you can withdraw it at any time.
4. Marketing
We only send marketing emails where the law allows, and every one has an unsubscribe link. You can opt out at any time using that link or by emailing support@screenswytch.co.uk.
5. Who we share it with
We do not sell your personal data, and we do not share it for advertising. We share it only with the service providers that help us run ScreenSwytch, each under a contract that requires them to protect it:
- Supabase — accounts, authentication, and licence/device records (UK / EEA).
- Cloudflare — website and licensing-service hosting, content delivery, security and abuse prevention (UK / EEA / global edge).
- Stripe — payments and subscription billing (UK / EEA / USA).
- SMTP2GO — sending account and support emails (UK / EEA / USA).
We may also disclose data to our professional advisers, or to authorities where the law requires it, and we may transfer it as part of a business sale or reorganisation, subject to this policy.
6. Payments
Payments are handled by Stripe. We receive billing and subscription records from Stripe (such as the amount, date, billing name and address, and whether a payment succeeded) but we never see or store your full card number. Stripe processes card data as its own controller under its privacy policy.
7. International transfers
Our core data is hosted in the UK and/or EEA. Where a provider processes data outside the UK or EEA (for example Stripe or our email provider), we rely on an appropriate safeguard — a UK or EU adequacy decision, the UK International Data Transfer Agreement, or the EU Standard Contractual Clauses. You can ask us for details.
8. How long we keep it
We keep personal data only as long as we need it. Account and licensing data is kept while your account is active and for a reasonable period afterwards. Billing records are kept for at least six years to meet UK tax and accounting rules. When we no longer need data, we securely delete or anonymise it.
9. Your rights
Under UK GDPR you can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or provide it in a portable format. To exercise any of these, email support@screenswytch.co.uk. We'll respond within one month and may need to verify your identity. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk — though we'd appreciate the chance to put things right first.
10. Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit and at rest, access controls, and logging. No system is ever completely secure, but if a breach is likely to affect your rights we will notify the ICO — and you, where required — without undue delay.
11. Children
ScreenSwytch is a tool for the workplace and is not directed at children. We do not knowingly collect data from anyone under 16.

We may update this policy from time to time. The "last updated" date above shows when it last changed, and we'll tell you about material changes by email or through the service.
